This role is diverse between front of house and administrate tasks; this will require you to be proactive and efficient in your delivery to create a smooth daily operation.

Job Description

General:
To represent Signature in a proficient, professional and personal manner at all times.

To ensure appearance is maintained to our grooming standards.

To attend any training sessions requested by the management team.

To assist all guests within Network Rail, Mitie and Signature clients with any reasonable requests.

To report any faults or health and safety concerns to the relevant person or department, first point of contact would be the Workplace Manager or Front of House Manager.

To comply with Signature standards for absences/ sickness.

Front of House Coordinator

To welcome our clients and visitors in main Lobby between the hours: 08:00 – 10:00 & 12:00 – 12:00.

Ensure staff members, not based on site, are security checked and directed to the 11th floor reception.

Promote and remind team members of the importance of notifying Level 11 Reception of their visit in advance via e mail.

Effective management of administrative tasks such as, but not restricted to; monthly visitor figures, stock take of audio-visual equipment, producing the Signature Network Rail newsletter, internal auditing and staff passes report.

FOH Coordinator to take full responsibility and control of all Meeting Spaces Open/Closed on all floors (including tidying chairs, papers.

Elements of travel to relieve other sites if needed (Full licence holders would be preferred but not essential).

Reviewing the security check list ensuring all faults have been corrected or logged to maintenance.

Ensuring all health and safety posters and leaflets are up to date and relevant.

Being the representative on behalf of the team for the engagement team.

Maintain up to date health and safety folders, with direction from the regional front of house manager.

Ensure visitors are checked in Tenants reception, prior to assist

Responding to the Reception Inbox making sure all emails are replied to in a timely manner.

Managing the Condeco account, troubleshooting, solution finding and delivering support on launch of Condeco in new sites, if applicable.

Hosting guests may be required.

Support Work Place Service Team, whenever possible.

Provide weekly assessment and report

Telephony

To answer the telephone within a timely manner using the correct greeting.

To transfer all calls in an efficient, professional and personal manner, if applicable

Security

To remain constantly aware of security and report or act upon any suspicious event or person.

  • To regularly liaise with the Building security/ onsite Building Manager to ensure we are aware of an issues/risks that may affect the office.

Qualifications

Experience:
2 years’ previous customer service experience preferably within reception, hospitality, switchboard or room booking environment. Qualified First aider or willing to undertake a course.

Skills and Knowledge:
Strong communication skills (both written and verbal).

Be experienced with computers.

Have knowledge of software packages such as MS Outlook, Word, Excel and PowerPoint. (beneficial not required).

The ability to interact confidently with all levels of business and guests.

To be able to work individually or within a team.

Customer focussed and the ability to build relationships with our clients and the Mitie team.

Education or Certification:
2 years reception/administration experience (beneficial not required).

A Level (or equivalent, beneficial not required).

Desired hospitality-based qualification, or official training.
